HostPapa Basic and Advanced Email Guide: Admin Menu

HostPapa offers great email plans for your business. Whether you have a large or small team, HostPapa Advanced and Basic Email plans offer collaborative features, cloud storage and the best security tools.

This HostPapa guide will go through all the Admin menu options for you to make the most out of your HostPapa Business Email. 

Clicking on HostPapa Email Guide: Admin menu will bring the following Domain options:

HostPapa Email Guide: Settings
Basic Settings:

  • Domain: Shows the domain name
  • User limit: The number of user accounts that may exist inside a domain
  • Alias limit: The number of account aliases that may exist inside a domain
  • Webmail Domain Alias: If enabled, webmail will allow users to choose domain alias names for their sent messages
  • Created: Shows the date when the PapaMail service was installed
  • Aliases: A list of domain names that can be used in place of the true domain name

Inheritable For Users:

  • Spam Header: If defined, this header will be added to messages flagged as spam
  • Spam Folder: Specify the folder to which messages flagged as spam are delivered
  • Spam Tag: If defined, this string will be prefixed to the Subject: header of messages flagged as spam
  • SMTP Limit: The number of messages that may be sent per 24-hour rolling window
  • Spam Level: Controls how aggressive the spam filtering will be
  • Quarantine report: If enabled and Filter Delivery is set to quarantine, the user will receive an emailed report each day that their spam quarantine contains email

Spam Settings:

  • Allow: A list of envelope-senders that are allowed to skip spam scanning. Wildcards (*) may be used
  • Block: A list of envelope-senders that will always fail spam scanning. Wildcards (*) may be used

Will show all active users or only the filtered ones if any filters were used above and also allows you to remove users.

Basic Settings
:

  • Type: Class of the users. Forward-type users may not be admins
  • User: Enter the email address
  • Password: The user’s password. If not set, the user will be unable to log in. Having 8 or more characters and a mix of uppercase, lowercase, numeric, and symbols will improve the password’s strength
  • Workgroup: Workgroups are management groupings for users
  • Aliases:  Alternate email addresses that may be used to log in or receive mail

Sending & Receiving:

  • Delivery: Select delivery type
  • Autoresponder: Specifies whether the autoresponder is active for this user
  • SMTP Limit: Services may be enabled, disabled, or suspended. If suspended, the service may only be changed by an admin with an equal or higher role than the one who suspended it
  • Quota (MB): Can be set to enabled, disabled, or suspended
  • Receive: Can be set to enabled, disabled, or suspended
  • IMAP4: Can be set to enabled, disabled, or suspended
  • POP3: Can be set to enabled, disabled, or suspended
  • Send: Can be set to enabled, disabled, or suspended
  • Webmail: Can be set to enabled, disabled, or suspended
  • Webmail Send: Can be set to enabled, disabled, or suspended

Forwarding:

  • Reply-To: If set, replies to forwarded messages are sent to the specified address. Useful for mailing lists so that replies are addressed to the list instead of the sender.
  • Subject Prefix: If set, forwarder messages will have this value prepended to the Subject: header. Useful for mailing lists.
  • Restricted: If enabled, forwarding will reject messages unless the envelope sender is part of the forward recipients list. Useful for mailing lists.
  • Recipients: Here, you can add the recipients.

Autoresponder:

  • Interval: How often an autoresponse will be send to each sender. Autoreponses are only sent once per period to prevent mail loops.
  • End Date: Here, you can enter the end date for your autoresponder.
  • Text: Enter the text sent when the autoresponder is active.

Spam Settings:

  • Spam Header: If defined, this header will be added to messages flagged as spam.
  • Spam Tag: If defined, this string will be prefixed to the Subject: header of messages flagged as spam.
  • Spam Folder: Specify the folder to which messages flagged as spam are delivered.
  • Spam Level: Controls how aggressive the spam filtering will be.
  • Reject Spam: If enabled, messages detected as spam will bounce back to sender instead of delivered to the spam folder.
  • Allow: A list of envelope-senders that are allowed to skip spam scanning. Wildcards (*) may be used.
  • Block: A list of envelope-senders that will always fail spam scanning. Wildcards (*) may be used.

Webmail & Metadata:

  • Max Addressbook: The maximum number of entries allowed in the Addressbook. Large Addressbooks take longer to load up inside webmail and delay Addressbook function after login.

  • Interval: Day/Week/Month
  • Graph Type: Users/Logins/Message Bytes/Message counts/Storage

Basic Settings
:

  • Type: Select the type – Mailbox/Forward/Filter
  • User: Shows the user
  • Workgroup: Select the Workgroup
  • Password: The user’s password. If not set, the user will be unable to log in. Having 8 or more characters and a mix of uppercase, lowercase, numeric, and symbols will improve the password’s strength
  • Status: Shows the current status
  • Created: Shows the creation date
  • Disabled: Disable the user
  • Maintenance: Set on maintenance
  • Aliases: Alternate email addresses that may be used to log in or receive mail

Tools & Status:

  • Rename User: Allows you to rename the email address
  • Logout User: Disconnect any user POP3 or IMAP4 connections. Useful for clearing poplocks
  • Last Login: The last login via POP3, IMAP, webmail, or SMTP. *** This data is not real-time and may be 24-48 hours out of date ***
  • Quota: Shows the current quota and number of messages. It may take a couple hours to update.
  • Addressbook: Shows the number of contacts and groups
  • Sending Availability: How many messages a user may send out at set timeframes. Based on a 24-hour rolling window.

Sending & Receiving:

  • Delivery: Controls how mail will be delivered
  • Autoresponder: Specifies whether the autoresponder is active for this user
  • POP3: Enable, Disable, or Suspend this service.
  • Quota (MB): The maximum storage size for the user. Applies to the email messages and webmail file storage.
  • Receive: Enable, Disable, or Suspend this service.
  • IMAP4: Enable, Disable, or Suspend this service
  • Webmail Send: Enable, Disable, or Suspend this service
  • Send: Enable, Disable, or Suspend this service
  • Webmail: Enable, Disable, or Suspend this service

  • Phone: Enter the phone number 
  • Language: Select language
  • Name: Enter the name
  • Title: Enter the title
  • Fax: Enter the Fax

Will show a graph depending on the selected interval and type.

Options:

  • Graph Type: Users/Logins/Message Bytes/Message counts/Storage

Will show a graph depending on the selected interval and type. Restore Email
Gives the option to select a folder and search for recently deleted emails (<14 days) to restore them.
